The Events Management and Information Services Coordinator will support the operational tasks related events, transportation services, and the University Switchboard.
This is a full-time position, thirty-five hours a week, with full benefits, reports to Director of Conference, Event and Support Services.
The shift includes days, nights, and weekends. There are also times when required to be on campus for large university hosted events. This person must have flexible availability as the work schedule for this position includes all shifts (days, evenings, and weekends)
Job Duties:
Working with Starrez Housing program: creating inquiries, registration sites for university conferences during the academic year and summer; along with reporting, extracting existing building rooming lists, and creating rooming list templates for reunion and summer camps and conferences.
Support the Director of Conference, Event and University Services, with scheduling non-university athletic events and occasionally being on site for those scheduled events. The events are, but not limited to, local school district athletic events, LLC sport camps/clinics, district/regional swim meets, etc. held on campus.
Supports the day-to-day operations of the University Switchboard:
Perform University receptionist duties, such as answering incoming and outgoing calls at the Switchboard, questions, directions, handing out maps and information pamphlets and accepting student flower/gift deliveries
Provide a positive first impression to callers and/or visitors to the University
Responsible for being in the constant state of readiness to facilitate an emergency procedure
Monitor and respond to the Elaine Langone Center's fire and intrusion alarm system
Communicate with Elaine Langone Center custodians or radio other Facility employees when appropriate, including call outs
Provide evening and weekend support for the University for drop-off and/or pick-up of packages, mail, special deliveries, guest suite keys, vehicle keys, event materials, luggage, Admission packets, etc.
Back-up for Public Safety's communications
Responsible for restricted access/special use sign-out keys and equipment for the Elaine Langone Center and other campus facilities when appropriate
Access EMS scheduling system for an accurate and complete calendar of events, and to confirm service department needs
Maintain working knowledge to support other aspects of the Events Management office including, but not limited to Key Management, Lost & Found, Reunion Housing and Summer Camps and Conferences.
Support the mission of the University and maintain high standards by providing quality service and working collaboratively.
Other duties as assigned.

Minimum Qualifications:
High School diploma or equivalent
Exceptional communication skills
Minimum of 2 years of experience in providing outstanding customer service in an office setting.
This position requires excellent organizational and communication skills, orderly and methodical working style, proficient follow through and follow up skills, and a positive personality who is proactive.
Ability to respond quickly and efficiently to emergency situations.
This position requires the ability to manage multiple responsibilities, to adjust priorities in a very busy environment, and work independently.
Proficiency with computers systems, and the internet and standard office equipment is essential.
Valid US driver's license
Preferred Qualifications:
Previous receptionist experience is helpful.
Scheduling experience
Marketing experience with the ability to navigate through social media Physical Demands: Office environment, ability to make quick, thoughtful decisions in stressful or emergency situations. Work Type: This is a full-time, year round, thirty-five hours a week, benefits eligible position.
This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
Salary Range: This is a Staff Non-exempt position with a hiring range of $16 - 19.99 (NE07)). The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
