Specific Job Title: Department Chair Secretary
Reports to: Vijaya Korlipara

Job Summary:
Greet all visitors in a professional and timely manner.
Answer all incoming calls and respond or direct them accordingly.
Manage and coordinate Chairperson's calendar, including scheduling appointments with faculty, staff, administrators, and students.
Work with secretaries and staff; and manage work-study students in the immediate office.
Assist the Chairperson in the preparation of Personnel Action Forms (PAF).
Schedule faculty classroom evaluations for the Chairperson.
Essential Functions:

Coordinate with the Assistant Chair and Chairperson in the preparation of Annual Faculty Activity Report (AFAR).
Assist with scheduling faculty and staff interviews for hiring.
Make travel arrangements and process reimbursements for seminar speakers and interviewees.
Process all check requisitions and confirm payments to appropriate vendors.
Maintain, update, and organize all relevant files, including confidential files, for the office.
Assist Chairperson with preparation and handling of electronic data systems.
Coordinate and arrange for scheduling of meetings called by the Chairperson.
Competencies:
Possess excellent computer skills with working knowledge of Microsoft Office applications and proficient use of general office equipment. Ability to learn and use university technology systems and other new technology as needed.
Demonstrate effective oral and written communications skills.
Effective interpersonal skills and ability to work effectively in a team and with diverse population.
Attend professional development activities when required.
Attention to detail, accuracy and timely completion of assignments are essential.
Flexible and adaptable in various situations.
Ability to prioritize multiple tasks simultaneously, problem-solve and maintain confidentiality.
Work Environment:
This position operates in a professional office environment; This position is required to use standard office equipment such as personal computers, printers, etc.
Physical Demands:
While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work and use controls; reach with hands and arms; climb stairs; communicate. The employee must occasionally lift or move up to 10 lbs
Required Education and Experience:
High school diploma required. Bachelor's degree preferred.
Minimum of three years of administrative assistant office experience. Experience in higher education is preferred.
