The Institutional Advancement Department at Saint John's University invites applications for the full-time, benefit eligible position of Development Office Coordinator.
This position is an important ambassador for the University and requires exceptional interpersonal communication and administrative support skills. The coordinator provides executive support for the Associate Vice President for Institutional Advancement and the Executive Director of Major Gifts. In addition, the coordinator provides pooled support for others on the capital campaign development staff, specifically members of the senior development officer team. The position is responsible for initiating and performing administrative support functions required for effective development work. The coordinator also provides important support for Institutional Advancement as a whole, particularly in the context of all fundraising related initiatives.

Responsibilities
Donor Relations
Extend Benedictine hospitality to development office guests and provide all information in relation to Institutional Advancement, the campus, accommodations, etc.
Promptly accept all phone calls directed to the development office with poise and enthusiasm and respond to all inquiries in a professional manner.
Work in a reception capacity at special donor events sponsored by Institutional Advancement, including our annual Saint John’s Day celebration which is an important appreciation event for our leadership benefactors.
Interface with university guests on SJU football game-days and assume responsibility for football suite(s) and tailgate hospitality.
Development Office Administration
In support of the Associate Vice President for Institutional Advancement, manage office affairs, initiate meetings, coordinate calendar and implement procedures.
Prepare letters for capital campaign reminders and gift acknowledgment receipts; work with the Advancement Services office to maintain donor account accuracy.
Document and maintain budget and other financial records and reconcile monthly budget summary with records of expenditures for Associate Vice President and track IA-wide office expenses.
Maintain and update IA Development & Athletic related blogs.
Senior Development Team Support
Provides executive support for the Associate Vice President for Institutional Advancement, the Executive Director of Major Gifts and pooled support for others on the capital campaign team including four senior development officers.
Assist in scheduling and coordinating special capital campaign events and cultivation visits for the senior development officer team, including making travel arrangements and completing itineraries.
Prepare printed solicitation proposals and other solicitation correspondence for the senior development officer team.
Enter contacts in database.
Process targeted mailings sent out from the development office and assist with other Institutional Advancement mailings, as necessary.
Coordinate the processing of travel expense reports for individual development officers, including P-Card tracking and Per Diem reimbursements.
Organize and maintain filing and records management systems, maintain desk and computerized calendars, and respond to and direct phone calls.
Assist with normal and extraordinary administrative, promotional, fundraising and communications projects and programs of the development office.
Maintain current processes for job-related tasks where appropriate.
Vice President Institutional Advancement Backup Support
Work closely with the Executive Assistant for Institutional Advancement as development responsibilities relate to the Vice-President. In the absence of the Institutional Advancement Executive Assistant, the coordinator is responsible for supporting the Vice President of Institutional Advancement and preparing materials for the President’s office.
High school graduate required with the completion of technical college/business college with business administration courses preferred.
Excellent verbal and written communication skills. Ability to communicate in a friendly, enthusiastic manner with constituents concerning capital campaign and related business.
Organizational and supervisory ability demonstrated by three years of administrative and office coordination experience.
Computer literacy and ability/willingness to remain current with state-of-the-art automated word processing/microcomputer/network office equipment. Specific knowledge of software includes, but is not limited to, Microsoft Word, Excel, Outlook, PowerPoint and Teams.
Ability to work effectively under stressful time constraints. This may require flexibility in the work schedule from time to time to accommodate deadlines.
