About the Position: The College of Natural Science and Mathematics is dedicated to the principle that teaching and research are intricately mixed and undergraduate research is an integral part of education. By combining quality classroom instruction, student involvement in research, and strong academic advising, we transform the student experience. We are seeking an exceptional individual to join our team as a Mathematics Administrative Support Assistant II. The Administrative Support Assistant provides comprehensive clerical support for approximately 40 full-time faculty, 85 part-time lecturers and 8,000 students each semester. Needs to be able to oversee multiple tasks with minimal supervision. Responsible for maintaining a thorough knowledge of department and university practices and policies. Expected to establish and maintain productive working relationships with admissions and records, campus faculty and staff and off-campus vendors.
Responsible for student payroll and hiring each semester. Processes all student hiring paperwork at the beginning of each semester, conduct hiring orientations and do all monthly online payroll input. Will maintain all student hiring data and files. Records all payroll expenses and reconcile with campus financial records.
Provides faculty and student travel support. Processes all travel requests for University approval and travel claims for reimbursement of expenses to faculty and students. Maintains department tracking of all trips and provide information on all travel related policies, procedures, and issues. Records all travel expenses and reconcile with campus financial records.
Conducts all department purchasing, including the basic office needs of the department as well as individual faculty purchasing, in accordance with University rules and regulations. Assists department coordinator with large-scale projects that involve purchasing and physical plant services. Expected to become knowledgeable about university financial purchasing systems and terminology. Maintains supply rooms in terms of organization and stocking needs.
Assists department coordinator with financial record keeping, including data entry and reconciliation with campus financial records. Provides secondary reception to Mathematics Department office, including phones and face-to-face customer service to students, faculty and the general public. Expected to work both independently and collaboratively in a team environment. Utilizes CMS applications and Filemaker Pro to complete assignments. Other duties as assigned.

High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
