The University of Akron’s Student Recreation and Wellness Services department is seeking applications for the Coordinator, Membership and Personnel position.
Working within the Division of Student Affairs in the Student Recreation and Wellness Services department, the Coordinator, Membership and Personnel manages student accounts and personnel processing, supports all hiring and employment functions, and coordinates the daily processing of memberships. This position tracks cost center reporting and manages record retention, compliance, contracts, and risk management reports on a regular basis. They manage the inventory and tracking of supplies, clothing, and pro shop inventory. The coordinator assists daily in Pro Shop and membership sales and operations. Position reports to the Director and senior leadership team.
Manage student accounts, highly confidential personnel files, and payroll records that include tracking of hiring, discipline, terminations, recommendations, and graduations including student employment paperwork and payroll processing for 200+ student employees and full time staff.
Serve as a liaison to human resources and student employment in all hiring and employment functions including job request forms, hiring manager, and record keeping. Relay communication and process updates to all department staff.
Assist in the sale of memberships, contract verification, processing, reporting, payroll deduction, and review of applications for correctness while maintaining files for all members.
Track hours worked for student employees by program area through Cost Center Reports
Manage proper record retention compliance for employees, membership contracts, and risk management
Collect data and distribute daily, weekly, monthly and or yearly reports.
Update and manage electronic database and spreadsheets utilizing software packages and computer applications to create spreadsheets, reports, and documents for project completion.
Provide assistance to the leadership team in the administration of departmental and campus procedures.
Maintain departmental calendars, organize meetings, and coordinate annual departmental events.
Maintain inventory and distribution of departmental supplies, including all department staff clothing inventory and pro shop inventory, updating POS records and product sourcing.
Coordinate and support large department trainings and events, many taking place outside of standard business hours.
Research products, vendors, and prices to properly appropriate funds for the purchase of supplies and equipment.
Provide excellent customer service and assist in resolving patron issues.
Coordinate public relations activities
Serve as department liaison to student, campus, and community groups and serve on campus committees as needed.
Work with the Department of Student Recreation & Wellness Services to support its mission of providing high quality programming, engaging and developing students in a manner that enhances their ability to be successful, adding to the campus experience and representing The University of Akron to the highest standards.
Must be able to work a flexible schedule including nights and weekends.
Other duties as assigned by Supervisor.
18 months of education or training beyond high school, a minimum of 4 years in employment and/or office management with collegiate recreation, membership sales and/or event management experience. Experience with membership sales, point of sale, tracking, personnel and payroll records. Strong time management and organizational skills with the ability to prioritize and coordinate multiple projects simultaneously. Computer skills to include spreadsheets, word processing and databases. Strong oral and written communication skills and the ability to work non-traditional hours as needed. Demonstrated commitment to diversity, social justice and cultural competence, and the ability to work in a multi-cultural environment.
Bachelors or Master's degree in Sports Administration, recreation or related field. Experience with facility/membership management software and employees scheduling software, basic accounting skills and American Red Cross CPR/First Aid/AED Certifications.
